Our Supplier Database has three types of users:
1. Account Managers
2. Warehouse Officers
3. Suppliers
The login details of each role are provided at the top of the page.
This supplier database is made for small- and medium-sized businesses that regularly work with a large number of suppliers. By using the application, companies can manage their suppliers more efficiently, monitor performance and keep better track of purchases and interactions.
To view and manage suppliers,
1. Log in as an Account Manager.
2. Click Suppliers from the main menu. Select any supplier from the list to view and edit its contact information, type, status, payment terms, address, etc.
To view and manage suppliers' contracts,
1. Log in as an Account Manager.
2. Click Suppliers from the main menu.
3. Select any supplier from the list, and then select Contracts.
4. Here you can store, maintain and update any agreements between your business and its suppliers. You can also automatically check for contracts that will expire soon by clicking the Check Contract Expiry date button.
To view and manage suppliers' products,
1. Log in as an Account Manager.
2. Click Products from the main menu.
3. Select any product from the list to view, edit and maintain its details, such as Product Codes and Categories.
This product form is fully customisable: contact us to add fields, change captions, or add explanatory texts.
To view and manage which product is supplied by which supplier,
1. Click Suppliers and select a supplier.
2. Go to the Products page of the supplier form.
To use the application as a Supplier, use the supplier login credentials provided above.
Once logged in, suppliers can see and maintain their contact details or access Purchase Order information, such as the PO details and its status. Suppliers generally have read-only access and can only change their contact details through the application.
To use the application as a Warehouse Officer, use the login details provided above.
Once logged in, warehouse officers are presented with an overview of pending deliveries and purchase orders, and they can mark deliveries as complete, partial or open or goods as received.
To view and manage overdue orders,
1. Log in as a Warehouse Officer.
2. Select Purchase Orders from the main menu.
3. The Overdue Delivery button inside the search bar automatically sends an email notification to all suppliers with overdue deliveries.
Alternatively, select Pending Deliveries to see a dashboard of all deliveries. Overdue deliveries are highlighted with the ⚠️ symbol.
